POSITION SUMMARY
Behavioral Health Services provides comprehensive mental health services, including individual and group therapy, to vulnerable children and their families. The Administrative Office Support position is responsible for providing administrative assistance to clinical staff by performing data entry, processing client documentation, and ensuring chart compliance in accordance with applicable mental health contracts.
This role serves as the first point of contact for clients and visitors and is expected to represent the organization in a professional, respectful, and courteous manner when answering phones and greeting guests. The Administrative Office Support position also assists with reporting functions and collaborates with the Quality Assurance Supervisor and departmental staff to ensure administrative operations are completed accurately, timely, and efficiently.
QUALIFICATIONS
- Strong knowledge of general business and administrative office procedures
- Familiarity with standard office equipment and administrative functions within a behavioral health or clinical setting
- Intermediate to advanced proficiency in Microsoft Word, Outlook, and Excel
- Ability to handle sensitive and confidential information with discretion and professionalism
- Minimum of two (2) years of experience in a related administrative support role preferred
- Strong verbal and written communication skills in English
- Bilingual proficiency in Spanish (speaking, reading, and writing) preferred

Equipment and Technical Requirements
- Ability to operate standard office equipment, including computers, copiers, multi-line phone systems, and fax machines
- Intermediate to advanced proficiency in Microsoft Office Suite
Physical and Emotional Requirements
- Medium-level physical demands, including walking, sitting, standing, bending, stooping, kneeling, and pushing/pulling throughout an eight (8) hour workday
- Ability to manage emotional demands, including handling complaints or criticism in a constructive and professional manner
DAY-TO-DAY RESPONSIBILITIES
The Administrative Office Support role includes, but is not limited to, the following duties:
- Create, label, and maintain client charts
- Scan and file documentation into physical and electronic client records as needed
- Upload required documents into the Electronic Health Record (EHR) system
- Conduct routine checks of clinician and staff eligibility in compliance with contract requirements
- Attend monthly staff meetings and required trainings
- Answer incoming calls, greet visitors, and manage front desk operations
- Schedule and coordinate meeting and therapy room availability
- Coordinate, schedule, and track Child and Family Team (CFT) meetings
- Assist with office supply ordering and general administrative support in coordination with office leadership
- Support chart reviews and internal audits
- Assist with audit preparation activities
- Track and monitor performance measures and outcome data
- Assist in obtaining required admission and intake documentation
- Perform additional duties as assigned

- Work Location: In-person/on-site (Riverside, CA)
- Schedule: Monday-Friday, 8:30 a.m. - 5:00 p.m.
- Hourly Rate: $20.00 per hour
- Language Requirement: Bilingual - Spanish required
